• email-delivery information such as whether an email was delivered, opened or a link was selected, where these functions are enabled within Brevo.

3. Purposes and legal bases

Your information may be used to:

• manage applications and participation in the Founding Readers Circle;
• send the manuscript, programme instructions, feedback questions and the Five Elements Haiku ebook where applicable;
• send occasional news about the novel, the Paul Forster series, advance-reading opportunities and publication;
• respond to enquiries and keep necessary records of consent;
• protect the website, diagnose technical problems and prevent misuse.

Newsletter and reader-community communications are based on your consent under Article 6(1)(a) GDPR. Website security and necessary technical administration are based on legitimate interests under Article 6(1)(f) GDPR. You may withdraw consent at any time without affecting processing that took place before withdrawal.

4. Service providers and recipients

Personal information is not sold. It may be processed by service providers used to operate the website and email programme, in particular:

• zenbox.pl, for website hosting, server operation and related technical services;
• Brevo, for the embedded sign-up form, contact management, double opt-in and email delivery.

These providers may use their own authorised subprocessors. Processing is governed by their contractual and data-protection terms. Brevo’s legal information is available through its privacy policy and terms, including its data-processing provisions.

5. International transfers

Some service providers or their subprocessors may process information outside the European Economic Area. Where this occurs, the relevant provider is expected to use an appropriate transfer mechanism and safeguards required by data-protection law, as described in its legal documentation.

6. Retention

Subscriber information is kept until you withdraw consent, unsubscribe or the relevant reader programme and communication purpose ends. Information may be removed earlier when it is no longer needed. Limited records may be retained where necessary to document consent, honour an unsubscribe request, resolve disputes or comply with legal obligations.

8. Cookies and embedded services

This first version of the website intentionally uses no advertising or analytics tools. The embedded Brevo sign-up form is loaded from Brevo’s servers. When it loads or is used, your browser communicates directly with Brevo, which may process technical information and use storage or cookies needed to provide and secure the form.

If analytics, Meta Pixel, advertising technology, video embeds or other non-essential tracking are added later, this policy and the site’s consent arrangements will be updated before those tools are enabled.

9. Security

Reasonable technical and organisational steps are used to protect personal information. No internet or email system is completely secure, so absolute security cannot be guaranteed.

10. Changes to this notice

This notice may be updated when the website, services or legal requirements change. The revised date will appear at the top of this page.
